IT Admin Assistant Wanted!

My client is a leading government agency looking for an admin assistant to come on board who has solid IT skills and can help perform support roles along with admin tasks. To be considered for the role you must have worked as an admin assistant supporting a large project team in the past.

Key Accountabilities:
The Admin Assistant will provide administrative support across the entire Program.

They are responsible for:
Administration of timesheets (in PSODA project management tool) across the program Accommodation/seating plan updates
Co-ordination of desk moves/changes and relocation activities
Providing first level desktop support across the program
Ensure all photo-copiers are maintained, filled with paper and correct toner, including ordering of ink/toner cartridges
Inter-office mail and messenger
Co-ordination of functions & social events
Liaising with Facilities to maintain work environment for program team
Assist with Maintenance of Program Mailbox, including answering emails, meeting requests etc
Assist with Document Management activities
Assist with the co-ordination of logistics for workshops and presentations
Assist with conference/meeting room bookings.
Assisting with other administrative and logistical tasks as directed by the Program Director and PMO Lead.
Proactive ordering of stationery and any kitchen supplies

Selection Criteria
1. Prior experience as Admin Assistant supporting a large project team.
2. High level of time management skills and organisational ability.
3. Demonstrated ability to take on tasks with minimal supervision and take ownership for managing to completion.
4. Strong interpersonal, written and oral communication skills with the ability to communicate effectively with a diverse range of stakeholders.
5. Skilled in use of MS Office especially Word, Excel, PowerPoint and desirable to have some Visio
6. Demonstrated ability in maintaining appropriate project team registers.
7. Prior experience with relocation of large teams, including desk moves and changes
8. Desirable to have some desktop technical support skills
9. Awareness of the need to be pro-active in changing environment.
10. Ability to operate within the values of impartiality, integrity, trust, service, accountability and safety.
To carry out responsibilities with professionalism, fairness and commitment and to do so in order to place the customer at the centre of all that is produced and delivered

We are looking for someone who is:
Happy to do team administration duties - updating registers etc
Willing to fix desktop/MS Office issues
Flexible and smart enough to be given project-related activities
Good work ethic and willing to start early around 8.00am every day
Happy to be asked to collect from and deliver to different office locations, filling copiers with paper/toner
Able to face challenges around prioritisation and items outside of the norm
