Project environment
A global Swiss Bank is looking for a Personal/Team assistant to support the Zurich Risk IT management team. The Risk IT function is responsible for the enhancement of the IT systems and surrounding processes to control and manage the Investment Bank's Financial Risk (Credit and Market Risk). The unit has major locations in Zurich, London, Stamford, New York and New Jersey and additional staff in Sydney, Hong Kong, with the management team being distributed across these locations.
Tasks
- Administrative support mainly for three Zurich based Executive Directors.
- Meeting planning and organization of conference calls and video conferences.
- Management of diaries and mail for three Executive Directors using Microsoft Outlook.
- Central point of contact for Switzerland based Risk IT employees for administrative, organizational and infrastructure matters.
- Various ad hoc tasks, such as organization of building access and new employee set-up, ordering of office supplies, troubleshooting etc.
- Organization of business trips, workshops and off-sites.
- Document management such as Management of SharePoint.
- Settlement of accounts (invoices and expenses).
- Handling of new contracts and contract extensions.
- Coordinate internal moves, hardware and software inventory, IOPS administration.
- Support with preparation of presentation and meeting material.
- Project Management Support activities (e.g. project status reporting, risk & issue management).
Requirements
- Swiss KV, Management assistant diploma or equivalent.
- Proficient MS Office user (Word, Excel, PowerPoint, Outlook).
- Excellent command of English both verbal and written.
