Description

Relieves the executive of administrative type functions in order to increase the time an executive has available for executive level responsibilities. May handle a wide variety of situations and conflicts involving the clerical and administrative function of the office Requires an associate's degree or its equivalent with at least 4 years of experience in the field or in a related area. Familiar with a variety of the field's concepts, practices, and procedures. Relies on experience and judgment to plan and accomplish goals. May direct and lead the work of others. Typically reports to an executive. A wide degree of creativity and latitude is expected.

Senior Executive Admin to support high level executive and 6-10 others in a department.

Should have 5+ years experience supporting high level executives

Must be polished and extremely professional as that of senior leadership

ESSENTIAL RESPONSIBILITIES:
Managing busy inboxes, reviewing and prioritizing incoming emails, taking action, responding or distributing as appropriate.
Managing a demanding calendar, planning and prioritizing internal and external meetings and visits.
Preparing itineraries and arranging travel within the US and globally.
Process monthly corporate card and cash expenses
Preparing agendas, Word and Excel documents, PowerPoint presentations and taking dictation.
Help keep organization charts up to date as directed.
Support onboarding of new hires, secure office equipment for new hires in the group and setup office accommodations
Support general office administration.
Manage departmental invoice process and order office supplies as needed.
Assist with job candidate interview scheduling.
Assist with meeting room scheduling and event planning.
Support general office administration.

DESIRED CHARACTERISTICS:
Skilled administrative assistant with proven experience of working with senior management.
Excellent communication skills with a proven ability to deal & work effectively with people (both internally and externally) at all levels.
Advanced MS Office skills, particularly Word, Excel, PowerPoint and Outlook.
A common sense approach and excellent attention to detail, able to work on own initiative, ability to think ahead and plan for all scenarios.
Flexible and with an ability to cope with a demanding workload, often to tight deadlines.
High degree of resilience, perseverance, focus and commitment.
Demonstrated organizational skills.
Experienced in event planning.
Respectful of the need for complete confidentiality.
