Payroll Assistant/Payroll Officer iTrent

Purpose of the post:
* To deliver an accurate, responsive, efficient and customer-focussed payroll service using iTrent.

Main duties and responsibilities:
* Responsible for ensuring that starter, leaver, amendment, additional hours, overtime and other changes are correctly authorised and accurately input onto the HR/Payroll System to within set deadlines
* Be knowledgeable of the rules and regulations of the H.M. Revenue and Customs, Local Government and Teachers Pensions
* Ensure the calculation of tax, national insurance contributions, statutory payments and pension contributions are accurately done
* Calculate emergency payments and prepare spreadsheet for BACS transmission, checking the emergency payments prepared by Payroll Officer
* To prepare necessary documents for the Deputy Payroll Manager to send to the Finance Department in order for a BACS recall to be processed
* Provide the Local Government Pensions Department with accurate information for the calculation of pension benefits
* Prepare monthly Starter and Leaver spreadsheets
* Provide information on payroll matters to Human Resources, Managers, Headteachers and employees
* Distribute pension forms to staff as appropriate, checking and maintaining records and chasing responses for onward transmission to the Pensions Team
* Distribute payslips and staff absence forms to departments within the company
* Deal with enquiries from individuals, regarding pay and deductions, in writing, by phone and in person, in a friendly, accurate, efficient and responsible manner
* Reply to correspondence from third parties such as mortgage brokers, Courts and government agencies, in a timely and accurate manner
* Assess entitlement to statutory and occupational sick, maternity, paternity and adoption pay according to statutory regulations and national and local conditions of service
* Calculate and produce debt account letters. Keep records of replies and actions, keep schools informed of progress
* Maintain orderly files, ensuring easily retrievable documentation
* Produce quarterly re-charge spreadsheets and remittances. Send invoices to schools and deal with queries promptly
* Produce Starter and Leaver information for the Finance Department on a month by month basis
* Distribute third party remittances and send monthly breakdowns to Child Support Agency
* To undertake additional or other duties as may be appropriate to achieve the objectives of the post and as directed and deemed appropriate by the Line Manager.

Qualifications
1. Good standard of secondary education to include English and Maths GCSE's or equivalent
2. Working towards IPP qualification

Experience
3. General payroll experience
4. Experience of using iTrent/Trent payroll software

Knowledge/Skills
5. Working knowledge of tax, NI, SSP and SMP legislation
6. Excellent organisational and communication skills
7. Excellent team player
8. Competent in all Microsoft Office applications including but not restricted to Excel, Word, and Outlook
9. Able to work accurately with close attention to detail
10. Able to work on own initiative
11. Able to inspire confidence and credibility
12. Able to work in a busy environment with strict deadlines
13. Engages in discussion with customers to gain feedback on their needs and expectations.
14. Seeks to build constructive relationships with everyone they work with, including individuals in their direct team, other Learning Trust teams, and external partners.
