Background

The Financial Conduct Authority (FCA) and the Prudential Regulation Authority (PRA) came into force in April 2013, succeeding the Financial Services Authority as independent non-governmental bodies, given statutory powers by the Financial Services Act 2012.

The FCA is responsible for regulating conduct in retail and wholesale financial markets, and the infrastructure that supports those markets. The FCA is an essential part of the new structure of UK regulation and is vitally important to consumers, market participants and society.  

We are looking for an experienced PA to support the HoD within one of the key operating teams. The successful candidate will need to demonstrate the ability to work to tight deadlines and have strong interpersonal and organisational skills.

What does this job involve?

  • Ensure effective use of HoD's time through (balance of free time for prep and review) judicious diary management, remaining flexible to frequent and often short notice changes. Keep HoD always well-informed, arranging conference rooms and for correct papers to be at hand. Anticipate eg arrange cover in HoD's absence.
  • Manage a bring forward/pending system and chase 'actions' from others where necessary.
  • Keep on top of paperflows and e-mails, noting immediate action and dealing with those when necessary. Chase actions from HoD of they risk becoming overdue.
  • Act as Secretary for (and attend as administrative representative) at the weekly HoD/Mgrs mtg. Draw up agenda, circulate papers and action points.
  • Produce accurate and timely minutes.
  • Action as many actions from the Senior Management meetings and the HoDs bilaterals.
  • Ensure all expenses meet FCA policy. Cross checking Managers' expenses and following up any policy issues.
  • Liaise on a regular basis with PA's across the department to ensure consistent approach in matters affecting the Division overall. 
  • Organising of Departmental meetings.
  • Co-ordinating Interviews for HoD. Communicating internally and externally. Updating I-Grasp and dealing with all administrative tasks.
  • Answer telephone calls, filtering where necessary and dealing with enquiries without reference to HoD when possible.
  • Diary support for Managers as and when required.
  • Complete iTime for the HoD.
  • Assisting HoD in capturing T&C progress.
  • Coordinating the quarterly update on firm briefing templates.
  • Diarise and collate routine and (as appropriate ad hoc) exercises for the HoD eg queries from other Departments.
  • Assisting on Departmental projects and co-ordinating department wide exercises.

Minimum, Essential & Desirable skills

  • Excellent PA/Secretarial skills
  • Strong organisational skills and ability to prioritise and juggle workloads to ensure that deadlines are met The ability to deal with competing priorities and juggle workloads to ensure that deadlines are met
  • Strong team player who is willing to assist colleagues as and when required
  • An ability to communicate with people at all levels, whether internal or external and strong written skills, including an ability to take minutes
  • Uses own initiative and has a 'can do' attitude to find imaginative solutions to competing demands on the HoDs time (particularly when organising the diary)
  • To be able to maintain confidentiality at all times
  • Flexibility and a willingness to get things done
