Essential Duties & Responsibilities:
  • Based on priority, assures on time delivery based on open PO lines in the ERP system.
  • Negotiates delivery dates with vendors by either pushing or pulling in orders based on project requirements.
  • Proactively expedite long lead items at regular intervals, to facilitate delivery per project schedule.
  • Follow up with suppliers to receive order acknowledgement with price, quantity, ship to address and promise date.
  • Proactively inquires with suppliers to meet drawing deliverables per PO and schedule requirements.
  • Obtain material certificates & documentation required by
  • Produce and keep up to date weekly expediting reports and report changes to project team.
  • Maintain and distribute procurement dashboard to track payment milestones, documentation/drawing deliverables, test/inspection points (FAT), ship date from supplier, receive date at Freight Forwarder, ship date from Freight Forwarder, date of customs clearance, and receive date at final destination.
  • Identify report and resolve notifications of late deliveries from suppliers. Notify Senior Expeditor & QC Coordinator of upcoming Inspection (FAT) dates.
  • Build a rapport with the vendor base & facilitate better response to the expediting requests.
  • Build and maintain vendor expediting contact list
  • Assist buyers to generate a return to vendor if required.
  • Monitor and assist buyers in resolve OS&D issues.
  • Request tracking information and/or POD from suppliers, freight forwarder, or field personal to complete receiving in ERP system.
  • Complete receiving activity in the ERP systems based on MR's, POD's & other shipping documentation
  • PO close out activities Work with Logistics to obtain weights, dimensions, country of origin, material descriptions, spec sheets, or any other information needed to complete export documentation.
  • Communicate packing instructions to Freight Forwarder/Packer.
  • Communicate shipping instruction to Transportation Specialist and Freight Forwarder.
  • Assist with customs clearance issues and obtain needed information.


Required Skills or Tools:
  • Oracle experience preferred
  • Excellent communication skills (verbal and written)
  • Strong MS Office skills with Excel, Power Point, Outlook, and Word. High level of organization
  • Knowledge and experience in shipping and receiving procedures. Must be able to interpret shipping documents, invoices, packing slips, inventory documents.
  • Understanding of INCOTERMS


Preferred Education/Experience:
  • Bachelor's degree from four-year college or university; or an Associate's degree with Two to five years related experience and/or training;
  • Demonstrate competence in the role of Expeditor in an Oil & Gas environment or similar industry Two to five years' experience
