I currently have a new and exciting opportunity to work for a Tier One Investment Bank based in Canary Wharf which is set to go on for an initial 3 months

Brief Job description:
I am looking for an Experienced Investor Relations Admin Assistant to run within the Investor Relations and Investment Banking Teams. You will have significant experience in Investor Relations or Events management setting and exemplary administration skills to fulfil this role.

Specific Duties supporting the IR team
*Assistance with creating roadshow proposals including: Producing itineraries; Booking chauffeur cars in London, Scotland and Dublin; Sourcing and booking venues for group meetings in London, Scotland and Dublin
*Preparation of PowerPoint presentations, occasionally from scratch, or making amendments
*Creation of feedback documents from investors
*Maintain and update results calendars
*Maintain and update a number of databases, including: Corporate Governance; Co-ordinators contacts & Scotland key contacts among others
*Confirmation of institutional attendees at client events
*Use of proprietary systems, such as Client Dashboard, Rapport & Eventview2 systems along with some external support tools, such as Ipreo/Bigdough + Profile Builder

General Secretarial Duties across both roles
*Extensive telephone coverage, ensuring the IR team, bankers and other assistants phones are covered at all times
*Maintain contact lists as appropriate and build good relationships with client and investor contacts
*Day to day responsibility for Expense and Invoice management. Processing and following up with all and inputting information into the gift and entertainment log; co-ordination of expenses from start to finish, adhering to all firm policies and ensuring that Amex bills are reconciled in a timely fashion; responsibility for processing all invoices relating to the IR team's function
*Calendar Maintenance and Meeting Planning, including arranging audio and video conferences
*Travel arrangements: - preparation of detailed itineraries, ordering foreign currency, visa arrangements and ensuring adherence to all firm policies
*General Administrative Support: - eg photocopying, scanning, arranging couriers and taxis,
*Spider administration as appropriate including call reports
*Covering for other assistants when out of the office

All Skills need to be CLEARLY VISIBLE within your CV/Application:
*Banking/Blue chip experience preferred.
*Solid secretarial skills base.
*Excellent Microsoft Office skills, including: Word, PowerPoint, Excel and Outlook.
*Accurate and quick typing skills with keen ability to proof read work.
*Basic understanding of Investment Banking Division and products.
*Willing team player who plays a constructive role as member of a team: prepared to 'muck-in' where necessary.
*Ability to cope under pressure and not cave in. Remain focused on main objectives.
*Enjoy buzz, lots of interaction in a truly dynamic environment.
