POSITION DESCRIPTION
  Primary role ISME seeks a professional Information Technology Service Provider (ITSP) who offers a service that will guarantee the health of ISME's plethora of chosen technologies (as described, in detail, here below), be responsible for the operation of these technologies in compliance with international legal requirements, and ensure the protection of information, data, and the ISME membership's digital experience. The ITSP will be accountable to the Board through the President and will operate in collaboration with ISME's Administration Team, including ISME's Secretary General, ISME's Finance Management, and also the ISME Secretariat. The ITSP will comply with ISME’s Code of Conduct and with the requirements of his/her country of location’s relevant occupational health and safety legislation and workplace safety laws. The ITSP will adopt sustainable practices in all work activities and comply with associated legislation and related sustainability responsibilities and procedures.   Particular Requirements 1. General Assembly ISME requires electronic election services each biennium, so that its active membership can select the future leadership. We require an ITSP who will ensure that all voting systems are working properly; ensure the transparency of the voting systems; ensure the safe/secure keeping of votes; ensure that the results are processed automatically, and communicated to the ISME President and Secretary General no more than 30 minutes after the closure of the ballots.   2. Daily Business We seek an ITSP who will ensure that ISME's online membership management system is operating securely and effectively; develop new membership products as required; produce automated electronic reports about the system and statistical reports about the various members and membership types; support individual and group members with possible queries and/or electronic account issues; and support the Secretary General, the Finance team and/or the Secretariat in responding to particular queries that might involve/require web related information.   3. The ISME Board and Executive We seek an ITSP who will be able to provide information to the ISME Board and Executive through the President as required, on an ongoing basis through the year. In addition, the ITSP will provide an annual official report to the ISME Board of Directors about all IT, Media and Communications related issues, as described herein.   4. General Administration ISME seeks to work with an ITSP who will be able to manage effectively the plethora of the Society's public output and ensure that this is both securely kept and made accessible to ISME's individual and group members. This also entails the automated syndication of the information within the various repositories on both the main but also membership ISME websites. The ITSP is also required to provide support to the Administration Team in ensuring that the ISME newsletters are distributed successfully to the groups that ISME Board and Administration Team identifies. 5. Website The ITSP will be responsible for the health and efficiency of the Society's various web-services, websites, dedicated hardware servers, virtual servers, domain name management, web hosting, third party software providers, online payment implementation, form management, e-galleries, document repositories, e-campaigns and other electronic activities. ISME runs the core of its online activities on a dedicated hardware Apache Server. The ITSP will need to ensure that the main ISME server runs securely, is ready to respond to denial of service attacks, provides detailed logging of all electronic activities, is up to date with the latest and most secure Unix operating system and required technologies (PHP, Python, MySQL, Pearl, Java, Javascript, C, AJAX, XML with XPATH and XSLT) as well as the number of Unix Shell Scripts in place. The ITSP will also be in charge of the WHM and the numerous child accounts (main, membership, idmmei, board), as well as the administration of all related domain, subdomains and email addresses with the domain registrar. ISME maintains five dedicated IP addresses at the time of writing; the ITSP will be responsible for managing these and/or additional dedicated IP addresses that might be required in the future. The above described technologies are not exhaustive but indicative of the nature of ISME's IT presence. The ITSP will be responsible for search engine optimization and compliance to very strict programming standards. ISME has invested in ensuring that the Society's website is an exemplar of accessibility and interoperability (W3C validation) and this should be celebrated in all future electronic developments.   6. Financial Facilitation Although financial management is the responsibility of the Finance Team, the ITSP is required to ensure the health of ISME's website payment integration systems (currently developed using Paypal's application programming interface-API, and integrated with the membership management website). The ITSP needs to ensure that the payment integration system is able to receive instant payment notifications (or similar scripts) from a chosen e-payment system and is also required to incorporate these finance related/implicated datasets onto the general membership reporting technologies for the ISME Board and Administration Team.   7. Membership The ITSP will provide mechanisms to support ISME membership and its expansion; will ensure the health of the Society's electronic membership database; and will be in charge of the membership database Schema, so that the ISME Board, Administration Team and other support teams are able to have access to bespoke reports, exported lists and data subsets, in line with their particular needs. The database schema should be able to ensure the validity and integrity of the various subsets and enable ISME to run required membership validations dynamically (e.g., voting, integrations with conference technologies such as paper submissions and conference registration, communications, etc). The ITSP will support the secretariat with potential queries or problems. Finally, the ITSP will be responsible for creating and maintaining automatic links with SAGE and providing valid datasets for the distribution of the ISME journal, and the electronic access to the journal online. 8. Conferences The ITSP will be responsible for supporting the Board, the Administration Team and the Conference Organising Group in ensuring that all conference related electronic materials are communicated effectively within the ISME website and other publicity materials. The ITSP will also be responsible in providing consultation to the ISME President about the most effective ways to implement paper submissions and registrations for ISME conferences.   9. Representation and advocacy We seek an ITSP who will be able to ensure that positive networking is established and maintained with external organizations that link to the relevant areas of responsibility (IT, media, communications). The ITSP should be able to be in attendance on appropriate committees and working groups, in liaison with the President.   10. Marketing and promotion Given that nowadays most promotional and other campaigns are virtual (i.e. electronic, digital), we seek an ITSP who will be able to develop promotional material, including design and marketing implementation (electronic campaigns, circulars, banners, etc.); develop a coherent identity for printed materials and publications, including design and organisation of the production of these, in order to ensure compliance with international distribution standards, and further exploit the possibilities of marketing ISME materials within online retail facilities.   11. Sponsorship ISME would be interested in exploiting sponsorship opportunities further. We seek an ITSP who will support the ISME Board and Administration Team in the distribution of relevant materials, and the development of new digital procedures for securing sponsorship online.   12. Strategy ISME seeks to work with an ITSP who will be able to provide input on the development of IT media and communications strategic direction to the Board through the President; oversee the implementation of strategic direction within IT, media and communications; and contribute to the Society's vision and mission for IT.    

SELECTION CRITERIA   Qualifications Essential The ITSP will need to provide evidence that they have the valid and recognized academic and professional qualifications to undertake the above prescribed responsibilities.   Knowledge and Skills Essential • A good working knowledge of organisations (preferably arts organisations) in the voluntary/charitable sector; • Developed knowledge and skills in marketing, promotions, and media relations; • High proficiency is required in the following technologies: UNIX, Apache, OpenSSL, PHP, cpanellogd , cpsrvd , exim , httpd , imap , mysql , pop , queueprocd , spamd , sshd , syslogd, Pearl, Python, Java, Javascript, C, AJAX, XML with XPATH and XSLT, SQL, shell scripts.   Experience Essential The ITSP must present evidence of having been providing similar to the above prescribed services successfully. Preferred This experience should preferably have been within similar voluntary/charitable sectors that serve a broad membership with diverse publications and conference-type events.   Personal qualities Essential The ITSP must provide references that indicate previous success in communicating effectively with and being accountable to a governing body and in working cooperatively with an administrative team.   Infrastructure Essential The ITSP must provide his/her own workspace, equipment and software to complete the necessary functions of this position. Occasional budget needs may be provided on request.
