Responsibilities and Challenges

The Sales Order Operator will work on customer projects.

The Sales Order Operator has a variety of duties and responsibilities:

  • Ensure orders are entered accurately into client's IT systems  with an emphasis on ensuring company policies are adhered to.
  • Oversee all assigned orders from placement to final invoice with complete and thorough communication to internal and external employees, sales reps and customers.
  • Essential Duties and Responsibilities include the following:
    • Responsible for processing all incoming assigned orders.
    • Set up new Customer Accounts.
    • Work with accounting to establish credit parameters.
    • Secure order discount and special terms approval from Management.
    • Create deposit invoices as well as monitor orders ensuring payments are received in required timeframe.
    • Create special customer requested invoices throughout the order.
    • Handle discrepancies between quotes and orders.
    • Send out order package via email to customer and sales rep
    • Manage and process all assigned change orders, including cancellations.
    • Phone calls and emails from sales reps or customers pertaining to current and past orders.
    • Follow up on all commercial missing items for orders.
    • Check customer requested delivery date
    • Escalate when delivery date is not met.
    • Work with the shipping coordinator on freight quotes for assigned territory.
    • Coordinate with production to help communicate to all parties when challenges arise..
    • Resolve revenue recognition issues so that equipment invoicing can occur ASAP.
    • Compare and correct production report date mismatches.
    • Other duties as required or assigned

Qualifications

  • A bachelor's degree
  • Two to four years of experience in a Sales Order position
  • Proficiency with the Microsoft Office package (Excel, Word, Powerpoint, Access)
  • Meticulous attention to detail and strong admin skills
  • The ability to prioritize multiple tasks in a fast-paced environment
  • Pro-active, showing initiative and sense of responsibility
  • Able to work independently and in a team
  • Result oriented and client focused
  • Ability to learn client's software quickly
