My client, an elite financial institution, based in Midtown Manhattan is looking to add an Executive Assitant to their Chief Representative office. This is a temp to perm opportunity paying between $20 and $35 per hour based on experience.

Key Responsibilities:
  • Provide general supportive, administrative and secretarial services so that the Chief Rep Office can function effectively and efficiently
  • Review daily calendar and scheduling of appointments and events for CC and FI
  • Coordinate itineraries, customer visits, conferences and special presentations
  • Serve as department contact point and contribute to maintaining a collegial atmosphere within the team
  • Organize local and international travel arrangements
  • Review and process T&E expense claims for manager's approval
  • Monitor the holidays reporting administration
  • Prepare and manage arrivals and departures of STA's and interns
  • Assist the Chief Rep in coordinating the Quarterly Report required for the NY Rep Office and manage the T&E compliance administration
  • Manage inventory and the purchase of stationery, office supplies and presentation materials


Qualifications:
  • Bachelor degree and/or comparable level of knowledge acquired through work experience
  • Experience as EA or AA in banking industry/professional services for at least 5 years is a plus
  • Proficiency to work with software packages, such as Microsoft Outlook, Word, PowerPoint, Excel, Internet and Intranet, to collect research, produce basic spreadsheets and maintain databases
  • Experience with managing and maintaining budgets and invoice systems
