Executive Assistant - Digital Banking - HSBC

HSBC is currently looking for a Digital Executive Assistant to be responsible for providing administrative support to a small number of senior managers. These managers work in the Global Digital team in the Retail Banking and Wealth Management business which is an expanding team, at the forefront of HSBC's plans for growth and investment.

This role is a temporary role, with strong potential for the role to become a permanent position with success in role, with the intention of hiring someone with the aptitude and ambition to develop their career, potentially ultimately into other roles in the Global Digital team.

Duties will include:

  • Schedule meetings and maintain appointment calendar for Digital functional manager(s) where required;
  • Handle the daily calls and enquiries of Digital functional manager(s) and/or departments and respond independently to routine issues and questions;
  • Make travel arrangements for functional manager(s) and team members as appropriate;
  • Arrange meeting schedule and venue for the overseas senior manager(s) visiting functional manager(s) or department when needed;
  • Produce letters, reports, memoranda, forms and schedules, utilising various PC-based software packages;
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, handling courier and filing; and sometimes confidential materials;
  • Coordinate and maintain records for staff office space, seating, phones, Blackberry, company credit cards, office access cards and office keys;
  • Update department organisation chart and staff contacts for the departmental Business Recovery Plan;
  • Receive and process information from business units, other departments, HR and assist in various reporting and tracking such as annual leave, compensation leave, financial, operational and personnel changes, while maintaining confidentiality;

Skills and experience required:

  • Previous experience in large corporate environment or financial services company
  • Good communication and interpersonal skills;

  • Customer-service orientation;
  • Proactive, enthusiastic, self motivated;
  • Professional telephone manner;
  • Knowledge of Microsoft Office (Excel and Word) and Lotus Notes;
