Receptionist and Secretarial support

Interview with the Atlanta Public School System to be a Front Desk receptionist and provide clerical support to the Information Technology & Operations Department.

Summary:

Provides secretarial support to the Information Technology & Operations department.  In this multifaceted position, you will be responsible for the management of the reception area and provide administrative support for the Information Technology & Operations department.  Drafting communications, coordinating projects and meetings, screening calls, make meeting arrangements and maintain calendars.  Additional office responsibilities include mail distribution and scheduling conference rooms.

 Scope of Work/Key Responsibilities:

  • Provide front desk coverage between the hours of 8:30 a.m. - 5:00 p.m.
  • Answer and manage incoming phone calls.
  • Route calls to specific people.
  • Take and relay messages.
  • Greet and direct visitors as well as staff.
  • Manage visitor sign-in/sign-out log book.
  • Drafting and typing memos, correspondence & forms.
  • Filing, scanning, faxing & copying.
  • Mail distribution
  • Conference Room calendar management
  • Ensure reception and conference room areas are orderly and tidy
  • Perform basic bookkeeping, filing and clerical duties
  • Occasionally work on small projects

 Contract Duration:

  • 6 months (initial)
  • Option to extend - based on performance.

 Skills and Qualifications:

Minimum of 2 years Administrative Clerical experience:

  • Excellent written and communication skills
  • Strong knowledge of general office procedures and office equipment
  • Intermediate knowledge of Word, Excel, Outlook and PowerPoint
  • Ability to multitask and prioritize a daily schedule
  • Ability to work independently with minimal supervision

Education/Training:

  • High School diploma or GED required

Work:

This work will be completed at the Atlanta Public Schools' Headquarters in downtown Atlanta.  The front desk receptionist would need to work M, T, W, TH, F (typically 8:30am - 5pm).

Leadership:

The Front Desk Receptionist will take day-to-day direction from the Administrative Manager assigned to the floor.
