An exciting opportunity has arisen for a Document Controller to work within Civil Engineering team in Dartford. The candidate will be expected to work closely with the Construction Manager, Cost Controller and commercial teams, and the hub procurement teams.

Liaison with Client Team, client communications team, external supply chain, internal supply chain, and other stake holders as required.

Accountabilities:

  • Establishing and maintaining a correspondence filing system
  • Establish and implementing procedures to provide a satisfactory and efficient document control system
  • Assisting Project/Commercial Managers in areas of document control
  • Assist in the preparation and compilation of consolidated project manuals
  • Planning and supervising document distribution
  • Update and maintain the document control system
  • Logging documents in/out
  • Logging correspondence in/out
  • Recording RFI's & Site Instructions in/out
  • Keep drawing register up to date and issue
  • Version/revision control
  • Creating and issuing accurate document transmittals as per approved distribution
  • Maintenance of hard/soft copy files
  • Generating reports relating to the document management system as required
  • Identifying improvements in the system and providing recommendations
  • Archiving all project documentation and control procedures
  • Minute taking for main meetings
  • Organising the office layout and maintaining supplies of stationery and equipment
  • Bind and prepare monthly reports
  • Responsible for collecting timesheets and expenses for all staff
  • Day file ensure up to date and submitted to all.
  • Answer phones; copy, scan, fax and file documents; greet and direct visitors; maintain professional appearance and cleanliness
  • Organise IT for all
  • Assist Construction team raising requisitions for Plant and Materials.
  • Assist Cost Controller recording and monitoring Goods and Plant Recieved.
  • Other duties as directed by the Construction Manager/Commercial Manager

The following qualities/experiences are essential:

  • Experience of admin support/document control (preferably in a construction environment)
  • Good working knowledge of the MS Office products

Oracle R11/R12/ERP

  • Must demonstrate behaviours that support an injury-free health and safety culture.

  • Good communication skills.
  • Must be self motivated to work as an individual and also as part of a team as necessary.
  • Demonstrate good time management qualities.
