Description

We are looking for a Executive Assistant to work in a leading provider of professional services located in Nottingham.

This is a temporary role for 4 weeks, however the right candidate may have the opportunity to be made permanent.

Hours: Mon - Fri 9:00 - 17:00

Roles and Responsibilities

  • Providing full secretarial support to a department/team.
  • Arranging and booking travel, accommodation and compiling itineraries.
  • Organising meetings and conference calls including inviting attendees, booking rooms and organising catering as necessary.
  • Answering both internal and external calls promptly and politely in accordance with the firm's policy, ensuring that accurate and detailed messages are taken and distributed and any queries dealt with professionally and effectively.
  • Providing an accurate and prompt copy/audio typing service, as required.
  • Preparing of Word and Excel documents, including letters, mail merges, meeting notes, reports, financial statements and presentations.
  • Creating and amending PowerPoint slides and presentations.
  • Co-ordinating and managing diaries as appropriate.
  • Organising the printing and distribution of documents.
  • Working alongside the Finance team to ensure all provision and billing requests are dealt with promptly.
  • Ensuring accurate data entry onto Client Relationship Management database.
  • Maintaining internal filing and keep information systems/databases updated.
  • Inputting and submitting timesheets for client facing staff as necessary.
  • Dealing with incoming post; assisting with general department administration.
  • Ensuring that the clear desk policy is being adhered to.
  • Working effectively as a part of the Business Support team, covering roles and being flexible where necessary eg covering/providing additional support due to sickness/absence.
  • Any other ad-hoc duties as directed.

The role requires the individual to be an excellent communicator, well-organised and have the ability to pay close attention to detail. The individual needs to be able to handle a number of tasks at any one time and meet tight deadlines.
