Seeking a friendly, Articulate and team player as an Executive Admin:

Responsibilities include but are not limited to:

Administrative support

Manage and maintain schedules and appointments

Prepares agenda and compiles data for meetings.

Arrange and co-ordinate meetings and events

Prepare and edit correspondence and communications.

Produce sound and accurate memos, letters, presentations, proposals and spreadsheets, other documents while meeting strict deadlines for completion.

Answer and manage incoming calls

Liaise with internal staff at all levels

Monitor, screen, respond to and distribute incoming communications, presentations

Record, transcribe and distribute minutes of meetings

Arrange and co-ordinate meetings and events

Arranges teleconference and video conference sessions. Must have good Outlook skills.

Maintain centralized filing system: paper, Servers, Internet, etc

File and retrieve documents and reference materials

Ability to maintain confidentiality of business and employee information.

Able to Handle and prioritize concurrent assignments, and meet deadlines.

Review, track, and process invoices.

REQUIRED SKILLS:

At least 2 years of experience as administrative assistant or similar role.

Excellent written and verbal communications skills.

Excellent writing, editing, and proofreading skills

Must have excellent MS Office skills, (Proficiency in Excel)

Some experience with MS PowerPoint

Demonstrated knowledge and success at the development and communication of professional correspondence.

Organizational skills and demonstrated success in a multi-task environment with attention to detail and follow through.

Persistence, flexibility

Dependability and team spirit.

Ability to apply judgment and make informed decisions

Ability to maintain confidentiality of sensitive verbal and written information

Ability to multi-task and manage complex situations proactively and independently.

Ability to plan, organize, prioritize, work independently and meet deadlines

Ability to screen vendors, prioritize requests, route and follow through while maintaining a professional, respectful demeanor.

Ability to solve problems and identify solutions

Ability to work in a fast paced work environment

Professional demeanor, unflappable enthusiasm, and ability to interact and collaborate with professionals at all levels within and external to the organization.
