Role Purpose

This is an incredibly dynamic role requiring the ability to manage several priorities at once and react accordingly as priorities change in this fast paced environment. You will be required to use your initiative on a daily basis and should be forward thinking and proactive to ensure the business leader is fully supported.

This will be a broad administrative role and will include office management, ensuring the smooth running of facilities and ad hoc projects associated with this.

Key Accountabilities:

  • Extensive diary management and coordination of diaries
  • Coordinate and schedule meetings with both internal and external partners
  • The collation and preparation of materials for meetings and presentations
  • Process expense reports, while managing to fiscal year budget
  • Coordination and arrangement of domestic and international travel
  • Administrative support for adhoc studio projects
  • The day to day running and coordination of the office, including facilities, services and extended admin support
  • Support and coordination with regards to all facilities service providers
  • Provide support in establishing, maintaining and updating admin/office processes
  • Coordination with relevant admin and support services to ensure delivery of key function objectives
  • Responsible management of budgets under the discretion of this role

  • The successful management of complex diaries with the utmost attention to accuracy and timelines
  • The prioritization, management and timely delivery of multiple projects
  • The ability to build strong connections to support the business leader and their team
  • The ability to reorganize and refocus at short notice in response to changing business needs
  • The smooth operation of the office and its facilities to ensure development teams are in an environment that facilitates their best work
  • Responsible fiscal managements to ensure budgets are met
  • Using discretion and judgment tact and diplomacy as required.

Knowledge, Skills and Experience

  • Previous experience of supporting a CVP/executive level business leader in a fast paced environment
  • Knowledge of the games/entertainment industry would be an advantage
  • Proficient at Microsoft Office applications
  • Ensure confidentiality of sensitive and personal data
  • Will have experience of working effectively with people at all levels, internally and externally, ensuring an professional approach at all times
  • Excellent organizational, analytical and communication skills
  • The ability to work under pressure in complex and sometimes ambiguous situations
  • Previous office management experience essential
  • Previous responsibility of negotiating and managing various service and facilities contracts
  • Project management, cross group collaboration and problem solving skills are all essential

Some travel may be necessary
