Department:
National Facilities Services Business Information Office (NFS BIO). The NFS BIO is responsible for the delivery of products/services for our facilities projects; the construction of Hospitals, Medical Office Building, Central Utility Plants, Call Centers, Data Centers and maintenance/repair for hundreds of facilities; and the delivery of all IT infrastructure, equipment and applications required to operationalize facilities.
Travel: At least 5% - 10% of the time
Job Summary:
The Project Coordinator in the National Facilities Services Business Information Office (NFS BIO) provides support for IT capital construction projects. The Project Coordinator is responsible for assisting with preparing documents and presentations, maintaining project information in project management system, submits and tracks purchase orders and provides support with the creation and distribution of project documents.
Principal Responsibilities:
- The IT Capital Project Delivery group within the NFS BIO partners with National Facilities Service (NFS) to support the build out of Facilities. The Capital Project Delivery group assumes end-to-end accountability to ensure delivery of IT solutions and services that provide the highest value in support of capital construction projects.
- The Project Coordinator develops and publishes project deliverables, documents, budgets and various reports.
- The Coordinator responds to requests for project status/budgets, and assists with special reporting requirements for IT Oversight and other mandates. This individual also documents project scope and contents.
Update project schedules
Assist in presentation preparation
Assist with Project Management tracking and reporting requirements
Propose alternative solutions to identified gaps and obstacles in current project initiation and reporting processes
Monitor Resource Program Management (RPM) systems and assist with updates. You must review RPM for compliance with IT Oversight policies
Prepare/submit purchase orders and capital; create work authorizations or orders and update them through amendments as part of the change control process; and provide NIKU resource reports.
Assist with any special reporting requirements
Provide capital and operating expense reports
Develop/maintain a project document library
Assist in the creation and distribution of various project documents
Qualifications:
- High School diploma
- Proficiency with Microsoft Excel, Access, Word, Powerpoint, Visio, and Project
- Good organization and detail orientation skills; and the ability to effectively communicate with all levels of the organization
Preferred Qualifications:
- Associate or Bachelor's Degree
- Proficiency with NIKU/RPM
