Project Coordinator, National Facilities Services

POSITION SUMMARY:

The National Facilities Services Business Information Office (NFS BIO) represents Regional IT Operations (RITO) in support of the NFS Capital Construction multi-year Capital Construction strategy. This strategy includes upgrading, expanding, and replacing facilities in order to continue providing high quality, convenient and affordable care to its members; expanding into new geographic areas in support of future membership growth; embracing emerging and future technology; bringing services in-house to improve the quality and affordability of care; and satisfying seismic regulatory requirements. The NFS BIO is responsible for the delivery of IT products/services for Capital projects which includes the construction of hospitals, medical office buildings, call centers and the delivery of all IT infrastructure, equipment and applications required to operationalize facilities.

The Project Coordinator provides IT support for Capital Construction projects and Infrastructure Program projects for NFS BIO.

The Project Coordinator is responsible for assisting with project documents and presentations, maintaining project financial information, submitting, tracking and receiving purchase orders and providing support by creating, maintaining and distributing miscellaneous project documents.

PRINCIPAL RESPONSIBILITES:
The IT Capital Project Delivery group within the NFS BIO partners with National Facilities Services (NFS) to support the installation and maintenance of Facilities. The Capital Project Delivery group assumes end-to-end accountability to ensure the delivery of IT solutions and services to provide the highest level of support of Capital Construction projects and Infrastructure Program projects.

The Project Coordinator develops and publishes project deliverables, budgets and various reports.

The Project Coordinator responds to requests for project status/budgets, and assists with special reporting requirements for IT oversight and other mandates. This individual also documents project scope and contents.
Update project schedules
Assist in presentation preparation
Assist with IT Project Management tracking and reporting requirements
Propose alternative solutions to identified gaps and obstacles in current project initiation and reporting processes
Monitor Resource Program Management (RPM) systems and assist with updates. You must review RPM for compliance with IT Oversight policies;
Prepare/submit purchase orders and capital; create work authorizations or orders and update them through amendments as part of the change control process; and provide NIKU resource reports.
Assist with any special reporting requirements
Provide capital and operating expense reports
Develop/maintain a project document library
Assist in the creation and distribution of various project documents

REQUIREMENTS:
1.) Proficiency with Microsoft Excel, Access, Word, Powerpoint, Visio, and Project
2.) Strong organization and attention to detail skills
3.) Ability to effectively communicate with all levels of the organization
4.) Ability to travel at least 5% - 10% of the time, as required
5.) Associate or Bachelor's Degree preferred, HS/GED required
6.) 3+ years of Project Coordinator and/or IT experience
