Role Summary

My Client are looking for an Executive Assistant to provide advanced administrative support to senior management, Directors and 1 Managing Director. Makes continuous use of technical and business vocabulary and has a detailed knowledge of organizational operations, organizational procedures and personnel policies. Typically supervises and coordinates the work of less-experienced administrative staff.provides advanced administrative support to senior management, primarily Directors and Managing Directors. Makes continuous use of technical and business vocabulary and has a detailed knowledge of organizational operations, organizational procedures and personnel policies. Typically supervises and coordinates the work of less-experienced administrative staff.

Responsibilities

1. Create documents, presentations and spreadsheets. Review information for accuracy and consistency and prepare documents for production

2. Schedule internal and external meetings for the division. Coordinate food, audio/visual and teleconferencing, including initial set-up and follow-up during and after the meeting.

3. Schedule international and domestic travel for Directors and above.

4. Prepare expense reports for Directors and above. Track and update all expenses for department ledger and gather numbers for monthly forecasting

5. Answer incoming calls and direct callers to the appropriate resources

6. Gather data for ad hoc reports/analyses

7. Assist with various tasks contributing to office organization, productivity and efficiency, including ordering supplies, tracking attendance, processing mail and updating division calendar and contacts

8. Provide back-up assistance to the Management Team
