IT Project Coordinator

Position Description:

The Project Coordinator will report to the Project Management Office and be a member of a team of professionals implementing strategic and tactical projects.

The Coordinator provides day-to-day support to project/program/portfolio managers within the project office.

Manage some of the project activities in planning, design, delivery and implementation to ensure successful delivery of projects.

Manage small initiatives with limited scope with a project/program/portfolio structure.

The Coordinator communicates with Project Managers, Network Services Project Staff and executives.

The Project Coordinator will be responsible for analysing the project portfolio and will develop reports and analysis on the relative health and progress for critical projects, plus build and maintain project schedules along with Project or Department Managers.
Manage the weekly cycle for timely submission of project/workstream status reporting, ensure consistency and compile program level report package
Support the production of the dashboards and monthly reports for the program meetings and IP governance requirements
Support NS Program communications and related internal team processes to execute program activities
Tracks and follows up with owners on program level issue list and program action item lists
Maintains and updates the master program milestone schedule for the NS program and its workstreams
Schedules & supports regular risk management/risk register update meetings
Produce program meeting documents including meeting agendas, minutes and meeting handouts
Support development and editing of PowerPoint presentations for meetings, working with PMs who provide and determine content of presentations
Maintains program library organization and selected internal tracking tools which may be required
Maintain program stakeholder inventory and related program communications information
Coordinate various logistics for program meetings and workstream sessions (various sites)
Support project time tracking, if required
Assist in the on-boarding of any new project staff into program processes
Requirements:
Minimum of 2 to 5 years IT project management experience with understanding of Healthcare
Uses independent judgment to analyze the intake process to determine the significant drivers and metrics
Familiarity with Project management procedures for project planning, monitoring and control, project schedules & milestone reporting
Experience with project meeting support, status reporting
Familiarity and experience with IT infrastructure projects in a project administrator or project coordinator role
Demonstrated effective (intermediate to advanced level) use and experience with MS Excel Capable user of Word, Project, PowerPoint, Sharepoint
Knowledge of project management principles, practices, techniques, and tools
Experience with requirements gathering, customer/stakeholder relationship management, issue/risk management, project/organizational change management, and IT vendor/partner management
Significant experience in working with clients to develop reporting requirements
Ability to prioritize and execute tasks in a high pressure environment
Ability to work independently or as a member of a team
Eye for detail and accuracy on all reporting and documentation, reports will be used in communications up to the executive level
Skills in conceptualizing creative solutions, documenting, and presenting to senior management
Excellent Verbal & Written Communication Skills
Experience working on global multi-cultural projects and successfully delivering projects in overseas locations preferred
Knowledge of IT infrastructure and Network Services concepts and components preferred
Self-starter and lifelong learner
Decision making skills
Problem analysis and solving skills (demonstrated experience in using these skills in a project management role)
General ability to maintain forward progress despite conflicting priorities and competition for resources.
Bachelor's Degree or equivalent experience in a related discipline with project management focus
Either a CAPM (Certified Associate in Project Management) or PMP (Project Management Professional) desired but not required
