IT Transition Manager
To structure and support the IT work stream for a large onboarding of Back Office activities
Governance:
- Implement and maintain an efficient governance of the given Readiness
- Schedule and moderate ad-hoc meetings and workshops
- Prepare presentations and other supporting materials
- Draft and distribute meetings minutes
Project and resources planning:
- Produce and maintain project plans
- Identify priority actions and critical path
- Follow p on the plans and escalate any conflicts or issues
- Prepare and maintain a sourcing/capacity plan
- Follow p on the plan, highlight any bottlenecks and propose mitigating actions
Budgeting:
- Produce budgets of the given Readiness
- Follow the project cost and perform any necessary analysis, forecasts and reporting
- Escalate any divergence from the budget or a risk of overspent
Coordination and progress tracking:
- Support IT Managers in day-to-day project management activities
- Define project tasks and track their progress through to completion
- Maintain an Action Log to document the project tasks incl. their deadlines and ownership
- Coordinate with other Readiness/Streams and the Program to manage dependencies
Project reporting &Communication:
- Prepare reporting for Project Coordination Committees (PCC), Steering Committees and any other governance forms
- Ensre smooth communication within the given Readiness as well as the other Readiness and the Program
- Support in communicating with external parties, esp. clients and systems providers
Project Administration:
- Establish tools, templates and procedures for the project, including reporting templates, risk and issue log, action log and change log
- Maintain a project library
Risk and issue management:
- Identify and document risks and issues in a dedicated log
- Analyze risk and issues, define mitigating actions, assign owners and set deadlines for resolution
- Track & contribute to the execution of the mitigating actions
Profile
- Significant experience in a similar role within large onboarding projects
- Immediate availability
- Based in Luxembourg
- Frequent travels to Germany & France
- Excellent written and oral French and English skills are essential, German is an asset
