We are currently seeking an ambitious individual to join our Retail Banking and Wealth Management team, working together with colleagues to define, manage and achieve divisional business targets.

The role holder will contribute to the effective organizational and operational management of the RBWM Regulatory Compliance team and help to drive simplification and value-added delivery across Regulatory Compliance.

The Administration Associate for RBWM Regulatory Compliance will be responsible for:

  • Diary Management, expense management, correspondence support and stationery ordering.
  • Provide absence cover for Executive Assistant to the Global Head of Regulatory Compliance.
  • Accurate booking of business trips according to Company policy and comprehensive itineraries produced, and organisation of business trips for the wider team including actioning any Visa requirements, STAs and expenses.
  • Managing of the onboarding of all new starters (permanent and temporary) including staff passes, access to systems/drives and ordering equipment and basic training on the Shared Drive. Mentor support for first few weeks.
  • Ensure all new joiners must have equipment and system access on day 1.
  • Working closely with the RBWM Regulatory Compliance COO and CAO, provide communications support including setting up and supporting Town Halls, Newsletters, Distribution lists and SharePoint administration.
  • Support organisation of conferences and off-sites, including finding locations and post event actions.
  • Team space management including desk bookings for visitors, team desk allocations and space analysis.
  • Occasional liaison with external stakeholders in respect of high level global meetings, global business model reviews etc.
  • Type and produce reports, presentations, spreadsheets, minutes etc, as required.
  • Provide high quality proactive email support and liaise with colleagues globally to schedule high priority meetings
  • Adhoc projects and tasks, as required.

To be successful in the role, you should meet the following requirements:

  • Previous experience of a Compliance department desirable.
  • Experience and understanding of the HSBC Group, its culture, policies and procedures desirable.
  • Excellent interpersonal skills.
  • Experience of liaison with colleagues at all levels within the Bank.
  • Strong written and verbal communication skills.
  • Proven track record in managing fast changing calendar across global time zones.
  • Proficient in MS Office and Outlook.
  • Will need to demonstrate attention to detail.
  • Ability to handle confidential and sensitive matters at the highest level.
  • Flexible, able to work in pressurised environment and manage priorities effectively.
  • Organised and methodical approach to tasks
