Overall Job Purpose

To provide a fast and efficient recruitment experience for Barclays applicants, from application to final interview stage.

Monitor candidate pipelines

Working with the business lead graduate recruiters to ensure we have the right quantity/diversity of applications per vacancy. Monitoring the number of applications on a daily basis and closing vacancies promptly when near to filling, to ensure we are not attracting too higher ratio of applicants per vacancy.

CV and Motivational Questions Screen

Ensure all CV's and motivational questions are screened within 48 hours, against agreed selection criteria for associated business areas. Establish a good understanding of how applicants rank to ensure only the top 25% are put forward to the next stage of the process. Liaise with the graduate recruiters and central team to regularly to highlight any issues, trends or to seek clarification on due process.

Video interview screens

Ensure video interview screens are conducted within 48 hours, again against agreed selection criteria. Selecting the top 45% to proceed to the next stage.

Assessment Day Coordination

  • Ensuring room bookings have been made and confirmed.
  • Candidates have been booked/self booked onto assessment centres, and associated joining instructions have been sent covering logistics of the day.
  • Sourcing on internal assessment centre interviewers. Sending out calendar invites and clear joining instructions relating to the interview schedule, interview rooms and required documentation.
  • Updating relevant recruiters to ensure they are familiar with the logistics of the day. Timely escalation of any issues relating to the day, to enable recruiters to provide required support. If issues are reoccurring escalation to the central team will be required.
  • Coordination of the day. Working with the recruiters to ensure everyone is in the right place at the right time.
  • Collating all required documentation and updating the ATS system promptly (no longer than 48 hours).
  • Providing all rejected candidates with constructive feedback that will provide them with useful guidance for the future and leaving them with positive view of their Barclays recruitment experience.
  • Liaising with relevant on boarders to ensure contracts are issued in a timely fashion and acceptance decisions are accurately recorded onto the ATS system.
  • Candidate pipeline management. Ensure candidates are progressing through the recruitment process efficiently, alerting the central team to any bottlenecks, insufficient application pipelines, quality issues or changes in anticipated conversion rates. Sending candidates the right correspondence through the ATS system in a timely fashion to ensure our process is best in class and candidates are promptly updated on the status of their application.
  • Candidate queries Responding to candidate queries within 24 hours. Monitoring the nature of these queries to ensure that any faults or issues are rectified or more information is made available to applicants on our website or ATS systems. Provide regular updates to the central team.

Campus Marketing Event Coordination

  • Booking internal and external venues and catering, when requested by central marketing team. Ensure all booking and associated costs are fully compliant with due process.
  • Reach out to approved business representatives, to ensure we have appropriate attendance levels. Send calendar invites with at least one months notice and ensure that all volunteers are confirmed and have clear joining instructions. Escalate lack of response or cancellations to central marketing teams.
  • Prepare name badges and monitor event attendance in terms of both candidates and business representatives. Work with campus marketing team to ensure iPad attendance tools are correctly set up for events and subsequently downloaded onto our ATS system.
  • Assist with the coordination of couriers to ensure that all required materials are sent to the event in a cost efficient and timely manner.
  • Attending and assisting with the coordination of marketing events when required.

Person Specification

Knowledge and Experience

  • Proven senior stakeholder management skills
  • Collaborative influencer
  • Understanding of industry standards around best practice' recruitment in the diversity space.
  • Good time management skills
  • Experience in analysing data and metrics, and able to tell the story they represent
  • Fully PC literate, including MS Outlook, word, PowerPoint, excel, and e-recruitment solutions
  • Understanding of Recruitment tools and Processes.
  • Ensure that all activities and duties are carried out in full compliance with regulatory requirements, Barclays Operational Risk Framework and internal Barclays Policies and Standards'
