Title: Compliance Specialist

Location: Chicago, IL

Duration: 9 months

Job Description:

  • The Associate Manager, Ethics & Compliance is responsible for administering, supporting and managing a global compliance case management system that includes concerns raised through the company hotline/webline and related investigations; employee disclosures of conflicts of interest and business gifts/entertainment; and compliance policy and business ethics questions.
  • The Associate Manager will administer and manage a database that includes employee training completions, certifications, communications and other program initiatives to support the Company's ability to demonstrate the effectiveness of the global compliance program.
  • The Associate Manager will analyze data for trends and unusual situations and present data in reportable, usable formats (typically through Excel or PowerPoint) and is responsible for using that analysis to prepare reports on compliance data and trends for senior leadership and the company's Audit Committee.
  • The Associate Manager will support the Ethics and Compliance team's risk assessment programs, such as cultural assessments and global compliance committees, and will answer questions raised by the Ethics & Compliance team and other functions as needed.
  • The Associate Manager will assist the Legal Operations team in analysing and identifying data such as trends in legal spend.

Key Components of the role:

  • Manage compliance case database and documentation with strong attention to detail; including opening, reviewing, assigning, monitoring and validating cases and related investigations.
  • Monitor, analyze and collect data and develop effective regular and ad hoc reports for managers, the senior leadership team and the Audit Committee of the Board of Directors. Provide comprehensive analysis and report distribution of trends and unusual situations.
  • Implement, test and maintain the compliance case management database. Maintain relationship with database vendor and stay abreast of system upgrades, enhancements, testing. Periodically test Hotline and Webline for access, response time, and transfer of information.
  • Support Compliance awareness efforts and campaigns, including communications, posters (physical and electronic), etc.
  • Implement and manage database of global Compliance training campaigns, employee disclosures, communications and certifications.
  • Support risk assessment programs and activities, including developing feedback from global Legal and compliance partners, global compliance committees and cultural assessments.
  • Provide analysis and support to Legal Operations
  • Maintain and update the Compliance & Integrity Intranet site.
  • Monitor and manage the company's Compliance mailbox and voicemail box.

Qualifications:

  • Bachelor's degree required
  • Minimum 3 years' experience with Case Management or similar complex database systems and experience in Legal Department, Compliance, or a similar function.
  • Experience with complex databases. Strong technical skills with proficiency in Microsoft Word, Excel, PowerPoint, and SharePoint.
  • Demonstrated analytical skills and attention to detail.
  • Strong problem solving skills and can work independently.
  • Ability to manage multiple projects and meet established deadlines.
  • Sound understanding of the business processes and process diagrams necessary to get things done.
  • Excellent written and verbal communication skills, including organizational and interpersonal skills.
  • Understands how to identify complex tasks and combine into efficient work flow.
  • Must have Compliance experience with training and leading experience
