We are looking for a
Senior Administrative Assistant (m/f)

Your tasks:
- Manage purchase orders and process accounts payable invoices
- Responsible for vendor management (set up and manage on online platform)
- Manage contracts (mainly with healthcare practitioners)
- Accountable for meeting planning and organisation; schedule attendees, book conference rooms, arrange catering, prepare presentations, compile notebooks, meeting materials, handouts etc.
- Perform administrative duties, which may involve exposure to highly confidential information
- Manage the schedules of those supported; schedule meetings and make travel arrangements for department members, visitors, partners and vendors as necessary
- Prepare correspondence, spreadsheet reports and presentations as directed
- Attend department meetings, take and distribute meeting minutes
- Provide telephone support; assume responsibility for copying, faxing, and developing and maintaining filing systems
- Complete expense reports for senior members, using the provided electronic system
Your qualifications
- Matura education preferred
- Fluency in English, in both verbal and written form (German and French skills are of advantage)
- Strong general administrative skills e.g. travel, diary etc .
- Extensive working knowledge of MS Office
- Experience with purchase orders and accounts management systems/software (preferably SAP)
- Experience with expense reporting systems/software
- Ability to work in a fast paced environment with demonstrated ability to simultaneously manage multiple competing tasks and demands
