Community Grant Coordinator

Description:

  • Position provides administration and oversight of GIFTS database system, which includes administrative functions and grants/sponsorship processing.

  • Participates in national workgroup calls and system process improvement. Creates system process for the organization, monitors requests, reporting schedules, deadlines and requirements to ensure consistent processing. Works externally with applicants and grantees and internally with program and other staff to structure and complete processing of charitable contribution requirements to ensure regional compliance.

  • Assures compliance with IRS and community benefit-specific regulations for assigned contributions.

  • Ensure data integrity and reconciliation for grant requests.

  • Perform data entry for grant requests and backup for grant requests.

  • Identify ideas, needs, and issues for contribution processing.

  • Facilitate and coordinate cross functional meetings for review processes to include follow up with external organizations.

  • Creates grant files that meet legal, auditing and community benefit requirements.

  • Coordinates grant processes, including, but not limited to: entering organizations and request in GIFTS; preparing for staff review meeting; sending correspondence (such as request acknowledgements, denial letters, letters of agreement); and processing check requests and payments.

  • Provides GIFTS reports, responses to inquiries and grants histories for CB Staff and Senior Leaders, including but not limited to: LOI Status Report, Pending Requests, Checklist for Requests, Requirements Report, Grant Close Out Report.

  • Perform maintenance of GIFTS grant files.

  • Upload external documents into GIFTS.

  • Create and maintain hard files.

  • Tracks and processes grantee contracts.

  • Respond to website and telephone requests regarding grants and inquiries about grants in process.

  • Create IGAM applications.

  • Coordinate/manage events processes, including, but not limited to: entering organizations and request in GIFTS; preparing for staff review meetings; facilitating events review meetings; implementing event decisions made at review meetings; sending correspondence (such as request acknowledgements, denial letters, letters of agreement); and processing check requests and payments.

  • Provides GIFTS reports about events/sponsorships for CB Staff and Senior Leaders, including but not limited to: Weekly spreadsheet for Event Review Meetings; Event pending list; Approvals; Denials; Recommendations for Consent Calendar; Recommendations for Regional Grant Review; Requirements Report

Daily Responsibilities:

  • MicroEdge GIFTS database system administrator for the NW regions charitable contributions.

  • Manage Key Stakeholders through data systems infrastructure
