Description

Senior Team Assistant sought by my Leading Global Investment Banking Client for an initial 6 month contract position based in Belfast.

The position is to provide administrative support to 3 Investment Banking teams and the opportunity to work in the fast paced Investment Banking arena.

Required Skills

Research

*Assist with the creation of template reports using in-house adapted Word templates.
*Create charts and graphics (eg with Excel ChartWizard, PowerPoint) for inclusion in reports and presentations.
*Obtain market and company information and historic data via market data subscriptions and Internet sources.
*Use Datacentral (in-house database) to extract data for inclusion in various research reports.
*Manipulate data across various applications eg Excel, Word, PowerPoint and in-house databases.
*Monitor reports through the Authoring process.
*Maintain client research distribution lists in CRM.

Team Marketing

*Prepare and maintain marketing presentations to a high standard, using PowerPoint. Advanced level graphic design preferable.
*Update and maintain internal databases (eg CRM) comprising company/client contact information.
*Create marketing schedules in Velocity, liaising with regional sales teams globally.
*Organise and manage extensive and detailed travel arrangements with local and off-shore travel teams.
*Organise and manage client conference calls.
*Liaising with clients and colleagues across regions to organise meeting schedules.
*Assist Corporate Access team with events and roadshows where required.

Administration

*Manage team diaries and analysts time effectively.
*Process expenses in a timely manner, ensuring all corporate credit card accounts are paid promptly.
*Process invoices.
*Provide telephone cover for the team with contact/communication with high-level internal management, clients, industry officials and senior management in other firms. Uphold key confidentiality when liaising with clients.
*Maintain filing systems, team publications and subscriptions, both hard copy and electronic copy.

PERSONAL REQUIREMENTS

Competencies:

*Ability to work to regular timetables under limited supervision.
*Strong communication skills - must be a confident and effective communicator at all levels and be able to deal with strong personalities.
*Strong written communication skills.
*Possess a proactive attitude combined with an ability to take the initiative.
*Ability to pick up new tasks quickly.
*Accuracy and close attention to detail.
*Ability to remain calm and efficient, particularly when working to tight deadlines.
*Ability to multi-task and re-prioritise tasks continually.
*Methodical approach and strong organizational capabilities.

Skills & Qualifications

*Advanced PowerPoint, Word and Excel, with the ability to produce charts and graphs, preferably with advanced graphic design skills.
*A strong command of the English language (oral and written) is essential.
*A basic understanding of the financial services industry.
