Executive Administration Officer (m/f)

Your tasks:
  • Coordinate arrangements for internal and external meetings and events acting as main point of contact on logistical matters
  • Organise business trips, arrange appointments and compile as well as check all travel-related documentation
  • Format, proof-read and ensure appropriate distribution of confidential documents
  • Provide administrative and secretarial support to the members of the board
  • Carry out and coordinate secretarial and administrative tasks independently and accurately
  • Arrange official lunches, dinners and cocktails
  • Ensure appropriate action with incoming electronic and physical mail, including prioritisation and distribution
  • Help maintain public website uploading documents and other information during absence of administrative colleagues


Your qualifications
  • Profound meeting organisation skills, office administration/management experience
  • Proficiency in Microsoft Office applications (notably word processing, but also spreadsheet, e-mail, presentation and database software) and internet tools
  • Excellent team player with good communication and interpersonal skills acting with diplomacy and discretion in liaising with stakeholders
  • Absolute discretion in treating confidential and restricted information
  • Good organisation and time management skills, accuracy, speed and attention to detail
  • Stress-resistant and proactive personality
  • Excellent communication skills in English and preferably German or another major world language
