My global top blue chip client is looking for an expert Personnel Assistant (PA), someone to support the director and management teams, have an appreciation and understanding of the needs of the directors, ensuring full support is provided at all times.

Location - Hertfordshire
Duration - 2 Months
Rate - £150pd

The job holder will need to exercise the highest levels of discretion and confidentiality at all times.
The job holder will be required to build and maintain relationships with internal and external contacts.
Build an understanding of the Solutions Design and Architecture (SD&A) functions and operations.

The role requires the post holder to complete the following tasks:
- Complex diary management of the director's and direct reports timetable - to organise schedules for key activities, proactively manage the diary, schedule and prioritise meetings; ensuring legal obligations are met and ensuring supporting papers are available prior to meetings/events.
- Provide detailed schedule activity on advance, particularly when out of the office for prolonged periods of time. Ensure preparation and administration time is allowed for.
- Ensure evening commitments are balanced across the diary.
- Preparing initial drafts of letters, emails and replies on behalf of the director as required for approval.
- Ensure preparation and administration time is accommodated within the diary eg annual assessments and individual reviews for all direct reports.
- Correspondence with internal and external customers as needs dictate, providing high level accurate work.
- Filter emails, forwarding any to relevant parties, actin any that you are able and bring those that require it to the attention of the director. Remove spam. Respond to invitations.
- Holiday tracking and sickness reporting for the team.
- General administration ie ordering stationery, general filing etc
- Reconciliation of expenses and PO's and confirming team expenses are processed in accordance with Company policy.
- Plan and organise travel arrangements as necessary.
