Executive Assistant (m/f)

Main tasks:
  • Administrative support incl. management of calendars, daily schedules, expense and cost reports for the Program and Manufacturing team
  • Organization of meetings and workshops with internal and external participants, including meeting minutes, prepare presentations, catering service and logistics
  • Streamline and execute office management duties such as: meeting rooms maintenance, stationery supply, etc.
  • Performs general office duties, including ordering supplies, maintaining records, management of database systems, contract management, purchase orders, book keeping, etc.
  • Manage travels for the site and act as reference point of contact for the global travel organization
  • Participate in PMO and Weekly Manufacturing meetings including the draft of minutes
  • Collaborate and act as point of contact with internal and external peers in the organization of meetings
  • Participation in different projects (Culture & Vision)
  • Act as deputy for other executive assistants
  • Support Head of EHSS in organizing workshops


Main qualifications
  • Commercial Education (KV) or equivalent
  • Executive Assistant Diploma or equivalent
  • Proven experience at executive assistant level (at least 3 years)
  • Excellent organizational skills and flexibility
  • Strong problem solving attitude
  • Excellent communication and interpersonal skills
  • Very good knowledge of Microsoft package
  • Collaborative personality
  • Excellent knowledge of German and English, any other language is an advantage
