Description
Responsibilities:
Weekly-
- Scheduling, rescheduling, managing Web-Ex and conference call and securing conference room for all weekly Change Advisory Board calls.
- Using the ITSM tool (EasyVista) to manage all change tickets.
- Presenting all tickets during the meeting, facilitating discussion and taking specific notes for meeting minutes.
- Ensuring all change tickets have supporting information (deployment plans, testing approvals).
- Identifying any initial concerns with risk, impact and collisions of changes and/or resources.
- Researching change information as needed/requested.
- Distributing meeting minutes the day of or the day after the change meeting.
- Follow-up on all action items to ensure meetings are being held, actions taken, etc prior to next CAB meeting.
- Escalate issues as required for management and/or executive level decision making or awareness.
Annually-
- Pull change related information for PCI audits/IT Security will request this information.
Ongoing-
- Managing IT CAB Collaboration team meetings, minutes, actions to completion.
- Handling all change related communications.
- Managing emergency CAB approver list (selected list of users) - ensure coverage for approvers when they go on PTO.
- Managing changes throughout all phases of the process to ensure change submitters are aware if their ticket is beyond it's scheduled completion date - request an update on the ticket (should it be closed/cancelled or rescheduled).
