Ihre Aufgaben:
- Under minimal supervision, provides administrative assistance to the Clinical Development and Medical Affairs group, consisting of 4 International Medical Directors
- Responsibilities include travel arrangements, expense reports, meeting support and invoice processing
- Greets visitors, answers and directs phone calls to appropriate areas and answers routine inquiries
- Sorts and distributes incoming mail, coordinates and prepares outgoing mail, including express packages
- Prepares routine and non-routine correspondence, memoranda, reports, spreadsheets, presentations, Agendas and meeting minutes
- Contacts company employees at all organizational levels to gather information, Maintains electronic and paper filing systems
- Maintains and tracks department staff Paid Time Off
- Provides travel, schedule and meeting coordination
- Keeps expenses up to date
- Manages Purchase Order Processing (SAP)
- Manages Expense Reports (CONCUR)
- Maintains Directors calendars, department schedules and time-off schedules
- Coordinates travel plans and large on- or off-site meetings
- Coordinates with IT for all technical issues
- Provides technical support to CDMA when appropriate
Ihre Qualifikation
- Advanced MS Office Skills
- Word: Forms, Mail Merge, Indexes, Tables, advanced formatting
- Excel: Forms, Formulas, Functions, Pivot Tables, Graphs
- PowerPoint: Slides, Graphics
- Project: Build and Maintain timelines
- Outlook: mail and calendar
- Experience with expense reporting systems/software
- Ability to perform multiple tasks in a fast-paced, team environment
- Ability to interact with senior management on a regular basis
- Solid verbal and written communication skills, strong interpersonal skills with tact and diplomacy
