Office Admin Manager/PA - Maternity Cover (4 Months)
Altrincham
£22,000-£25,000 (Dependant on experience)
Monday-Friday 8.30am - 5pm
Our company is an entrepreneurial expanding organization with ambitious growth plans. Having achieved huge success within the last five years, we are seeking an enthusiastic and confident Office Manager to cover maternity.
Working for a thriving lead generation business based at our Head Office in Altrincham, you will support our team of Directors in their everyday activity whilst maintaining the day to day running of the office environment. You will have previous exposure to working in this capacity and be a diligent and confident individual who can challenge the status quo and seek new ways of working, implementing new processes as necessary.
The post will require you to provide administrative support to the business and management of daily tasks, where you will gain extensive knowledge of the company's set up and form good working relationships with key personnel, discretion and confidentiality in the role is key.
Key Responsibilities:
*Managing conflicting demands, and busy schedules on behalf of the Directors.
*Organize and manage all administration activity to ensure the smooth running of the operation.
*Deal with all telephone calls to the main office and pass all enquiries to the appropriate business area, when appropriate handling them to a satisfactory outcome.
*When appropriate, meeting and greeting visitors at all levels of seniority
*Organizing and maintaining diaries and making appointments on behalf of the Directors
*Take responsibility for facilities management such as ordering stationary and liaising with the building landlord as appropriate.
*Dealing with incoming email, faxes and post, often corresponding on behalf of the relevant Director.
*Produce reports and presentations as required.
*Arrange travel and accommodation as required.
*Arrange off site facilities for inductions and office events
*Dealing with all health and safety within the business (training will be given)
*Managing the fire evacuation procedures for the building including the fire wardens roles and responsibilities (training will be given)
*Liaising with the landlord of the building, reporting any faults with the building or landlord equipment.
*Monitoring the car parking
*Ordering all staff incentives
*Manage all office/department moves.
*Managing 10 internal meeting/training room bookings via outlook calendar (training will be given)
To succeed within this role you will have excellent written and verbal communication skills with the ability to influence people at all levels. You must also have strong organization skills and excellent working knowledge of Microsoft office, such as word, excel, Powerpoint. Furthermore the ability to manage upwards, work to work to strict deadlines and possess excellent time management skills as well as the ability to work autonomously and as part of a team
