My client, a 'Blue Chip' organisation is looking to create a talent pool of experienced PAs to undertake regular short term holiday covers placements throughout the busy summer period and beyond supporting various Directors and Executives.

Further to submitting your CV your experience will be reviewed and suitable candidate will be contacted to discuss their experience in detail, candidates successful at this stage with then will requested to undertake skills tests and attend an interview/assessment day.

Those individuals who are successful at interview stage will then be contacted when positions arise and will be offered to start cover immediately or from a specified date with no further formal interviewing. (Please note that at the hiring managers discretion there may be an informal telephone conversation before a definite offer is made.)

Key responsibilities

  • Diary management organising day-to-day and future appointments.
  • Arrangement of meetings on and off site with refreshments, including tele-conferences.
  • Providing a first point of contact for internal/external contacts.
  • Filter inbox and archive/sort in folders.
  • Preparation of personal expense claims.
  • Administration of invoices, cheque requisitions.
  • Monitoring of absence, holidays & IT requests.
  • Arrangement of all travel itineraries for external meetings/off site days/international trips.
  • Screen calls for Director or Executives, set up conference calls and international.
  • Production of PowerPoint presentations, Excel spread sheets and Word documents.
  • Raise purchase orders for all department costs and stationary.
  • Maintaining the smooth running of the department.
  • Order of miscellaneous items ie flowers, gifts with use of the Internet.
  • Distribution of departmental post, including use of a courier and cost codes.
  • Booking taxis using an account.
  • To oversee new office layouts, office moves, ordering IT equipment and office furniture.
  • Arrange non-perms, temp cover with HR and team.
  • Coordination of offsite events/team meetings.
  • Organising team social events.
  • New starter orientation - desk, pass and account set-up.
  • First point of contact for IT. and PC problem solving for the team.
  • Ad-hoc duties as and when required.

Successful candidates will be able to demonstrate previous experience of carrying out the responsibilities listed in a similar position supporting Directors and Executives in 'Blue Chip' organisations.
