Contracts Administrator - Aerospace

To provide an effective administration within the Programme Management team, chiefly supporting the Contract & Bid Manager with Requests for Quotation (RFQs) and Requests for Price (RFPs) received from UK clients

The role is responsible for the administration of Requests for Quotation (RFQs) and Requests for Price (RFPs) received from UK clients. The Administrator will coordinate with other departments and the Contract Manager to produce quotations, and complete the associated record-keeping actions. The Administrator will also complete follow-up activity to ensure a response to a quote sent is received.

The Administrator is accountable for completing administration work associated with the RFQ/RFP process and supporting the Contract & Bid Manager as required.

The post holder will work closely with the Contract & Bid Manager and Head of Programme Management.

Main responsibilities:
*Administering requests for quotation in a fast moving Aviation, civil and defence spares, repairs and production environment
*Putting together simple quotations within the Company process and sending the same, once approved by the Bid Manager, to Clients
*Pulling together pricing and estimates from and liaising with Supply Chain, Manufacturing and any other relevant department to provide to the Bid Manager within the required timeframe
*Maintaining records of all request for quotations, including received RFQs, correspondence with the customer, produced RFQs and relevant follow-up activity
*Ensuring compliance with military and civil requirements in line with import/export compliance direction
*Processing quotations in line with received purchase orders to 'close the loop' on the statistical data required
*Assisting Bid Manager to provide statistical analysis to management team

Other Responsibilities:
*Adhere to legislation governing employment, including but not restricted to; health and safety, data protection, equal opportunities, quality assurance ensuring compliance with statutory and local policies and procedures.
*Adhere to company policies and procedures.
*Undertake other duties commensurate with the role that may be required from time to time.

Knowledge, Skills and Experience:
*Have understanding of the bid process
*Be able to work and communicate at all levels of a business, ensuring good working relationships
with other departments
*Understanding of bid compliance process including client requirements.
*Communicate bid and contract information clearly too relevant departments.
*Possess a basic understanding of contract principles and export compliance
*Previous experience in the aerospace industry (civil and military)
*Have a clear understanding of the concepts of minimum pricing and order quantities
*Have the ability to create and maintain accurate and up-to-date records that can be utilised by all
relevant individuals within the business
*Undertake a broad range of relevant tasks within contracts related environment, and provide
assistance to colleagues and managers as required.
*Numeracy and Literacy to a high level - attainment of education passes equivalent to GCSE pass
level in English and Mathematics minimum requirement.
*Be able to multi skill and prioritise to meet deadlines and demonstrate excellent time
management, organisational and problem solving skills.
*Demonstrate effective IT skills (to include MS Office applications) to produce high quality, timely
and professional documentation - experience in using ERP systems would be useful
*Possess accurate data entry skills and attention to detail.
*Able to create, develop and maintain effective processes within strict compliance standards.
*Demonstrate a strong customer service ethic and is an effective communicator - confident and
flexible to liaise with stakeholders in the UK and US.
*Accepts ownership and accountability - able to work on own initiative.
*Demonstrate a professional, confident and "can do" attitude and has personal integrity.
*Identify and drive continuous improvement and able to deliver solutions that meet the wider business needs and contribute to achievement of company targets.
