EXECUTIVE ASSISTANT - PERSONAL ASSISTANT - Chiswick/Guildford

Project People are currently looking for an Executive Assistant/Personal Assistant on behalf of a leading blue chip Telecommunication company operating all over the globe.

The main responsibility is to pro-actively support the Head of Engagement Practices (EP), Head of Commercial Management (CM) and Head of Sourcing by providing a high degree of administrative support and service to this three people. Assistants may in some cases take decisions on behalf of manager and represent the unit if delegated. Contributes to and coordinates activities in different projects in the administrative area.

Responsibilities

The Executive Assistant to RLT is an active member of the EP, CM and Sourcing Leadership Teams.

The main focus of the role being:

  • Manage calendar, and manage email and mail on behalf of Head of the Unit
  • Manage customer contacts on behalf of the manager
  • Plan, organize and coordinate meetings with internal/external stakeholders and suppliers eg coordinating contact between Ericsson Team and stakeholders
  • Attend meetings in order to assist with administrative duties, agenda setting, minutes, action plans etc.
  • Network and communicate with other Assistants, within and outside the organization, including Regional Leadership Team (RLT) PAs
  • Drive improvement and implementation of administrative routines: Co-ordinate and contribute to new ideas to improve administrative efficiency
  • Support with travel arrangement
  • Expense management
  • Support with use of Ericsson administrative tools and other general tools, eforms, Gordon, Concur, e-buyer etc.
  • Enter business cards into MS Outlook Contacts following meetings

Experience:

  • 5 years experience in Executive Assistant role
  • Proficient with Microsoft Office suite
