Title: Global Digital and Social Media Governance Lead - CA

location: Thousand Oaks, CA 91320

Contract - 39 months (Possible of extension)

Description:

  • Support global governance of Amgen owned and Amgen sponsored digital and social media. We currently have 300 websites, 52 social media accounts, and 170 email addresses, 265 Amen Business Owners in the Global Digital and Social Media Asset Inventory. This list is growing daily.

Global Digital and Social Media Asset Inventory

  • Weekly - Back Up the Global Digital and Social Media Asset Inventory
  • Daily - Update the Global Digital and Social Media Asset Inventory (Note: we are receiving updated and new information daily)
  • Effectiveness Check - Twice Yearly QC of the Email Boxes that Reside on Amgen Owned and Amgen Sponsored Digital and Social Media to ensure the list is complete and up to date. Follow up with Amgen Business Owners who do not respond. If the identified Amgen Business Owner is no longer an Amgen employee, research and identify new Amgen Business Owner. Provide the results and evidence of this effectiveness check for submission to the Amgen Compliance Council.
  • Effectiveness Check - Twice Yearly QC of the Global Digital and Social Media Asset Inventory to ensure the list is complete and up to date. Follow up with Amgen Business Owners who do not respond. If the identified Amgen Business Owner is no longer an Amgen employee, research and identify new Amgen Business Owner. Provide the results and evidence of this effectiveness check for submission to the Amgen Compliance Council.
  • Maintain a list of all Amgen Business Owners and their backups. The list includes the name, email address, and staff ID.
  • Update formal process documents to reflect changes.

Documentation

  • Update policies, guides, etc.
  • Manage and update Amgen's Digital Asset's Intranet Site - Manage Amgen's Digital Assets -
  • Effectiveness Check - Twice yearly survey Amgen Business Owners to verify that you have the information you need to set up, monitor your Amgen owned or Amgen sponsored web site or social media account, and report adverse events and product complaints that may be posted as a comment, sent as an email, or posted to an open text box. Identify and resolve any deviations from the established processes.

Training

  • Assess the Training Documents and Develop and Review Global Training Curriculum
  • Effectiveness Check - Quarterly Review of the LMS Student Assignment Status to confirm all relevant staff are being assigned and completing training. Track completion by the Amgen Business Owners and follow up with the Amgen Business Owners who have not completed the training. Provide the results and evidence of this effectiveness check for submission to the Amgen Compliance Council.
  • Update LMS training based on documentation updates. Work with Amgen HR Learning and Development to implement the training. Assign updated training to Amgen Business Owners of Amgen owned and Amgen sponsored digital and social media and verify completion of the training
  • Assign required training to new Amgen Business Owners and verify completion of the training. Track completion of training and follow up with Amgen Business Owners who have not completed the training.
  • Assign required training to each backup of every Amgen Business Owner and verify completion of the training. Track completion of training and follow up with backups who have not completed the training.

Governance

  • Manage and track the data and evidence from the effectiveness checks that will be reported to Amgen's Compliance Council
  • Create presentations showing results of all effectiveness checks for Amgen's Compliance Council

Other Ongoing Day to Day Governance and Oversight Activities

  • Monitor mailbox daily and respond to or forward inquiries as appropriate
  • Develop, implement, and manage an ongoing digital and social media governance awareness campaign.
  • Manage all pre-approved responses for Amgen owned and Amgen sponsored web sites and social media accounts - Create one document, manage through the review and approval process, and release in EDMQ (Electronic Document Management Quality) as controlled documentation
  • Edit and update web site and social media guidelines, etc. created by Corporate Affairs and Regions. Manage the documentation through review and approval process and release the approved documentation in EDMQ (Electronic Document Management Quality) as controlled documentation
  • Set up and configure Amgen owned and Amgen sponsored social media accounts (eg, Twitter, Facebook, etc.)

Credential/Password Management

  • Day to day management of credential/password approval process, including reviewing requests, granting access, and removing access as needed. This includes managing and updating the credentials/passwords inventory.
  • Day-to-day management of 3rd party social media tool vendors (Last Pass, Hootsuite) including coordinating enterprise meetings, trainings, and troubleshooting issues.
  • Manage social media channel password security. Regularly update passwords and evaluate associate ownership monthly, or more as needed, to maintain brand social media security.

Day to Day Responsibilities:

Same as job description: Criteria if the placement is successful after 30 days they will be able to perform the tasks with some oversight.
